We're looking for a dedicated Department Coordinator to support our Sales, Operations, and R&D managers with scheduling, follow-up, and day-to-day administrative coordination — freeing them to focus on leading their teams. This is a great fit for someone who takes pride in being the steady, dependable force that keeps busy departments organized. You'll work closely with three different teams, staying organized across shifting priorities and helping make sure nothing falls through the cracks.
Responsibilities
- Manage calendars and scheduling for three department managers and coordinate meetings across their teams.
- Follow up on action items and deadlines to keep projects and tasks moving.
- Take notes during team meetings and share summaries and next steps.
- Handle day-to-day office administration: phones, mail, visitor coordination, and supply/inventory management.
- Keep shared office spaces organized, stocked, and running smoothly.
- Support printing, formatting, and documentation needs across the three departments.
- Assist with logistics for department-level events, mailings, or outreach projects as needed.
- Support information flow from managers down to their teams.
Qualifications
Required
- 1–3 years of administrative, coordination, or office support experience.
- Highly organized, with the ability to juggle multiple stakeholders and shifting priorities without losing track of details.
- Clear, professional communicator who's comfortable working across different teams and personalities.
- Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable picking up scheduling tools.
- Someone who finds satisfaction in consistency and follow-through — this role rewards reliability over reinvention.
- High school diploma required.
Preferred
- Associate degree in business or related field.
